QUESTION POSED ON: 21 September 2004
I have a database to post pictures of various problems associated with building a pool. I do not want anyone (other than the manager of the database) to be able to print the photos, copy and paste the photos to another program for printing, or forward the photos. These are company-specific photos and must not be reproduced in any way. Is there a way in Notes 5 to accomplish this? I have been told I should make the document a PDF and put security on it when it opens in Adobe, but that is not the most efficient way for me to accomplish this. My users need to open the database, open the document and view the picture, but they cannot be allowed to print, copy or paste.

EXPERT RESPONSE
The $KeepPrivate filed is used in the mail template when you check off "Prevent Copying" on the 'Delivery Options' tab. You could add this field to the document and have it default to a value of '1.' Then you could allow only the database administrator to change the value to '0,' print or copy what they need and change it back to '1.' This will not prevent people form doing screen captures.
