Pre-upgrade strategies for Lotus Notes Domino users

Before upgrading, it's important to alert your users that a change is coming. There are four email messages that you should send to your users:

  1. Send users a note simply telling them that you are planning a system upgrade. There's no need to go into great detail at this point.
  2. In a follow-up message, detail some of the new features that they'll find in the latest Lotus Notes version to which you're upgrading.
  3. Let users know what to expect. Send a message with screenshots, timelines, etc. Always let users know how long the upgrade is expected to take.
  4. Give users information on where to go for help. Supply them with numbers for help lines, training session details and links to useful websites. This message should be sent immediately after the upgrade is complete.
