Lotus Notes Smart Upgrade gotchas

Although performing a Smart Upgrade seems fairly intuitive, you may encounter a few problems. Because the user is not prompted to upgrade, you must ensure that the user is listed in the Smart Upgrade kit document. To determine this, go to
Administration Tab -> Allowed user field.

Additionally, the policy isn't set to users, but they are being prompted to upgrade. The policy is strictly for tracking purposes; if the user's client version matches the one in the kit and they are listed as an allowable user, then they will be prompted.

After users upgrade, desktop shortcuts to Lotus Notes don't work. When using the default installation options, Lotus Notes installs to C:\Program Files\Lotus. However, if you upgraded on older machines, the executable resided in C:Notes. Therefore, it may not delete the old icon. When performing multi-user installs using default options, a dialog box will appear requiring users to answer an "Are you sure?" question.

Note: Multi-user installs should use the custom tuner to specify the installation type.

Users do not have administration rights to their own workstations, so they cannot upgrade. After ND7, use the SURunAs utility from Lotus to set a username and password that has the rights to install the software on the machine. This utility is packaged with the Smart Upgrade.

If you're not using IM in your environment, users will receive a "Setup instant messaging" dialog box during an initial client launch. A client Notes.ini parameter IM_NO_SETUP=1 is required and can be added using a customized policy document. Use Domino Designer to add a new field to the Desktop Settings document. Simply prefix the field with $Pref ($PrefIM_NO_SETUP=1).

Finally, it's important to keep in mind that Smart Upgrade Tracking Reports are only sent to the database for Lotus Notes 6.5.3 or higher.

Training for Lotus Notes users shouldn't stop after a successful upgrade. Be sure to continually provide users with quick email tips or newsletters that highlight interesting Lotus Notes features. Offer users mid-day training sessions that incorporate their own resources and Domino directories. Spending a few minutes each month training users can result in fewer help desk calls in the future.
