Creating user groups without exporting to a spreadsheet

Fast way of creating user groups on your Domino 4.x without exporting the list to spreadsheet.

Instead of exporting names into a worksheet or structured text files, try this procedure if you have to create a few different groups with many users on your Domino 4x server.

Let's assume that you have a view in your PNAB that lists users by Location, sorted by Location field and that you have the location field value entered in each person's document. If not, I'd suggest to do that anyway.

To create groups for each site normally, you would have to export the entire list into a spreadsheet and then after massaging the list, import the names back. I've found it easier to use my personal address book for that. If you have any names listed in you personal address book, copy c:notesdatanames.nsf file to a temporary folder and then delete all the names from your original file.

Now open Public Name and Address Book, go to your People, By Location view. Let's assume that you need to create a group for London users. Select all the London users from the "By Location" view and click "Copy to Personal Address Book." Still in PNAB, go to Groups and click the "Add Group" button. Enter a name for the group and click the helper button next to "Members" field. Now you should see the name selection box. Switch from Public Address Book to your local personal address book and you should see all London user names. Select all the names and click the "Add" button. Save and Close the group document. You have just created a group for all your London users without typing one name.

Now open your Personal Address Book and delete all the names. Go back to PNAB and repeat the procedure for your next group. Entire process of creating dozen groups with hundreds users doesn't take longer than 5-10 minutes.

When all done you should copy your original Personal Address Book (names.nsf) from the temporary folder back to C:NotesData
