How to fix the Lotus Notes unread documents feature

Lotus Notes 6.x client has the ability to keep track of unread documents in each folder. But sometimes this feature gets out of whack and displays a larger count than the actual number of unread documents within a folder. In this tip, SearchDomino.com member Erwin Hommes provides step-by-step instructions on how to resolve this problem.

VIEW MEMBER FEEDACK TO THIS TIP

Lotus Notes 6.x client has the ability to keep track of unread documents in each folder. But sometimes this feature gets out of whack and displays a larger count than the actual number of unread documents within a folder.

Follow these steps to resolve this problem:

  1. Open the user's mail file.

  2. Go to the view "All Documents."

  3. Select: View -> Show -> Unread only. (Only the unread e-mails will be displayed in the view.)

  4. Select: Edit -> Select All to select all unread documents in the view.

  5. Select: Edit -> Unread Marks -> Mark All Read. (Note: all documents will disappear.)

  6. Deselect: View -> Show -> Unread only.

  7. Select: Edit -> Unread Marks -> Mark Selected Unread.

The "Unread Counter" should now be corrected.

MEMBER FEEDBACK TO THIS TIP

Don't forget to undo the "view unread only" back to "view all." You'll scare the users if you leave it as view unread only. This is a great tip though!

Some users do not like marking all of their documents as "read," but would still like to have an accurate unread count. Two methods I have used which work to correct the count are:

  1. Select the Mail file -> Edit menu -> Unread Marks -> scan unread marks. It may tell you that the views are not built properly and ask you if you want to rebuild them. Click on "yes." This will reset the count.

  2. Open the Mail file and then press CTRL + SHIFT + F9 to rebuild all the views/folders.
