Notify button

This tip describes how to set up a notify button to let people know there is a document they should read.

I get irritated by people who expect me to look through every database to keep abreast of new and often important information. So I devised a simple notification button which can be added to a view and allow the person posting an important document to send a doclink and brief message about their prized database entry. This keeps the emails directed and concise, but ensures others know the information is there and quick to access via the link. This also adds a comment to the audit trail in the document to show who has been notified (I like audit trails).

I use configuration documents to define some variables (makes code more portable), but you can hard code these if you prefer.

Person = A list of the people and/or groups who have access to the database. You can use the name and address book in preference

dBTitle = The name of the database mail is sent from (e.g. Process Library). Can be a hidden field on form or hard coded

FormType = Hidden field on form. I use this to distinguish between form types (e.g Filenote, Meeting Note)

audit= A computed text field on the form to record who the notifier email has been sent to

Subject = The subject heading field on the form (as you would use on a standard email form)
